This position assists the Director and Assistant Director of the District's Early Childhood Education program, which resides in the Albay School of Humanities Building.

General Statement:

The incumbent is responsible for making independent decisions on problems encountered within a delegated scope of activity. Supervision may be exercised over clerical assistants. Work is performed under the general direction of the Director who reviews work through conferences and reports for adherence to departmental policies and standards.

General Administrative Assistant Responsibilities may include the following:                              

  • Collects necessary information and assists in the preparation of the departmental budget estimates;
  • Supervises and participates in the keeping of fiscal records and the preparation of vouchers for payment;
  • Supervises a clerical staff engaged in processing of personnel records, payrolls, maintenance of files, general correspondence and other records;
  • Provides general supervision over recording of expenditures and receipts of an office;
  • Requisitions materials and supplies;
  • Oversees staff work and maintains specialized accounts and records;
  • Participates in staff conferences concerning administrative procedures to be followed in carrying out various programs of the department;
  • Assists superiors in planning and administering programs for staff, in office methods and procedures, and other non-technical fields;
  • Reads incoming mail and answers general correspondence as required;
  • Supervises and expedites the preparation of reports and the maintenance of records through research and review of work;

Responsibilities:                              

  • Supervises and participates in the installation, construction, maintenance, cleaning and repair of street, water drainage, and sewage systems; 
  • Supervises and participates in snow and ice removal activities;
  • Supervises and participates in various grounds keeping tasks such as grass cutting, raking, cutting brush, trimming trees, and removal of debris;
  • Supervises and may participate in all maintenance and minor operational activities at the reservoir, including grass cutting, raking, snow removal, fence repair, minor painting, cleaning of reservoir basins and other labor jobs;
  • Supervises and may participate in the loading or unloading of material and equipment;
  • Supervises the collection and removal of garbage;
  • Supervises and participates in the building and repair of curbs, sidewalks, culverts and retaining walls
  • Supervises and may participate in building cleaning and maintenance tasks;
  • Keeps simple records on work performed and on employee time;
  • Supervises the erection and repair of city street signs and markings;
  • Performs related work as required.

  • Good knowledge of the practices, methods, tools and terminology used in the street, sewer and water and grounds keeping construction, maintenance, cleaning and repair;

Monitors lunch periods in school classrooms; does related work as required.

These duties involve responsibility for relieving classroom teachers during lunch periods in schools where there are no cafeterias.  Lunch Aides maintain order and insure that children finish their lunches during the lunch period.  The duties of Lunch Aides differ from those of School Monitors in that Lunch Aides are more limited in the degree of responsibility and types of assignment they are given.  The work is performed under the general supervision of the School Principal.

 

EXAMPLES OF WORK: 

  • Relieves teachers by supervising children in the classroom during lunch hour
  • Insures that children eat their lunches and clean up afterwards
  • Maintain order in the classroom
  • Reports accidents and problems arising during lunch periods to the School Principal
  • May prepare simple reports relating to lunch period activities
